    2. Google User Data and Limited Use Requirements

    Booking Pro AI’s use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

    2.1 How We Use Google Data

    When you sign in with Google or connect your Google Calendar, we access the following Google user data:

    • Google Sign-In: Your name, email address, and profile picture for account authentication and identification within our Service.
    • Google Calendar: Read and write access to your calendar events solely for the purpose of syncing your bookings and appointments with your Google Calendar.

    2.2 Limited Use of Google Data

    We strictly limit our use of Google user data to the following purposes:

    • Providing Service Functionality: Authenticating your account and syncing appointments with your Google Calendar.
    • Improving User-Facing Features: Enhancing the booking and calendar synchronization experience.

    We explicitly do NOT:

    • Use Google user data for serving advertisements
    • Sell Google user data to third parties
    • Use or transfer Google user data for purposes unrelated to providing or improving our Service’s user-facing features
    • Use or transfer Google user data to determine creditworthiness or for lending purposes
    • Use Google user data for training generalized artificial intelligence and/or machine learning models
    • Allow humans to read Google user data unless we have your explicit consent, it is necessary for security purposes, or required to comply with applicable law

    3. Information We Collect

    3.1 Information You Provide

    • Account Information: Name, email address, password (or Google OAuth credentials), and phone number when you create an account.
    • Business Information: Company name, business type/industry, staff/technician details, service offerings, business hours, pricing, and booking rules.
    • AI Receptionist Configuration: Voice preferences (male/female), receptionist name, service descriptions, and custom greetings you configure for your AI agent.
    • Contact/CRM Data: Customer names, phone numbers, email addresses, appointment history, and notes you store in the Contacts section.
    • Payment Information: Billing address and payment details processed securely through our payment provider (we do not store full payment card numbers).
    • Imported Data: Contact lists and data you import via CSV or other file formats.

    3.2 Information Collected Automatically

    • Usage Data: Pages visited, features used, click patterns, and time spent on the Service.
    • Device Information: IP address, browser type, operating system, and device identifiers.
    • Cookies: We use cookies and similar technologies to maintain sessions and improve user experience.
    • Business Analytics: Aggregated data about your bookings, revenue, popular services, and peak hours displayed in your Reporting dashboard.

    3.3 Customer Data You Process Through Our Service

    When you use our AI phone, SMS, or WhatsApp agents, the following data may be processed:

    • Call Recordings: Phone calls handled by our AI agent may be recorded for quality assurance and service delivery.
    • Call Transcripts: Automated transcriptions of phone conversations.
    • Messages: SMS and WhatsApp messages sent and received through the platform.
    • Customer Information: Names, phone numbers, and appointment details of your customers who interact with the Service.

    Important: You are the data controller for your customers’ data. You are responsible for obtaining appropriate consent from your customers for call recording and data processing, and for providing them with required privacy notices.


    4. How We Use Your Information

    We use the collected information for:

    • Providing and maintaining the Service
    • Processing appointments and managing your booking calendar
    • Operating our AI phone, SMS, and WhatsApp agents on your behalf
    • Processing payments and managing your subscription
    • Sending service-related notifications and updates
    • Improving and optimizing our Service
    • Providing customer support
    • Detecting and preventing fraud or abuse
    • Complying with legal obligations

    5. AI and Automated Processing

    Our Service uses artificial intelligence to:

    • Answer phone calls and respond to customer inquiries
    • Process and respond to SMS and WhatsApp messages
    • Schedule and manage appointments based on your availability rules
    • Transcribe and analyze conversations for service improvement

    AI-generated responses and decisions are based on the business rules and information you provide. You can review AI interactions through your dashboard and adjust settings at any time.


    6. Information Sharing and Disclosure

    We may share your information with:

    • Service Providers: Third-party companies that help us operate the Service (see Section 6.1 below).
    • Legal Requirements: When required by law, court order, or governmental authority.
    • Business Transfers: In connection with a merger, acquisition, or sale of assets.
    • With Your Consent: When you have given us permission to share your information.

    We do not sell your personal information to third parties.

    6.1 Third-Party Service Providers

    We use the following categories of third-party services to operate Booking Pro AI™:

    • Authentication: Google OAuth for secure sign-in. When you sign in with Google, we receive your name, email, and profile picture. This data is used solely for account authentication and identification within our Service.
    • Calendar Integration: Google Calendar API for syncing appointments. We access only the calendar data necessary to manage your bookings and display your availability. This data is not shared with any other third parties or used for any purpose other than providing the calendar synchronization feature.
    • Telephony & Messaging: Voice and SMS providers to power our AI phone agent and messaging features. Call recordings and message content are processed through these services.
    • Artificial Intelligence: AI language models to power our conversational AI receptionist. Conversation data is processed to generate responses. We ensure that any Google user data (such as calendar availability) processed by our AI providers is not used by them to train their models.
    • Payment Processing: Secure payment processors to handle subscription billing. We do not store your full credit card number.
    • Cloud Infrastructure: Cloud hosting providers for data storage and application delivery.
    • Analytics: Usage analytics to improve our Service and understand how features are used. Google user data (from OAuth and Calendar) is NOT used for analytics purposes.

    Each provider is contractually obligated to protect your data and use it only for the purposes we specify. Google user data is handled in accordance with Google API Services User Data Policy and is not shared with analytics providers or used for advertising.


    7. Data Security

    We implement industry-standard security measures to protect your data, including:

    • Encryption of data in transit (TLS/SSL) and at rest
    • Secure authentication including OAuth 2.0
    • Regular security assessments and monitoring
    • Access controls and employee training

    While we strive to protect your information, no method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.


    8. Data Retention

    We retain your data for as long as your account is active or as needed to provide the Service. After account termination:

    • Account data is deleted within 30 days
    • Call recordings and transcripts are deleted within 90 days
    • Some data may be retained longer for legal compliance or legitimate business purposes

    You can request earlier deletion by contacting us.


    9. Your Rights

    Depending on your location, you may have the right to:

    • Access and receive a copy of your personal data
    • Correct inaccurate or incomplete data
    • Request deletion of your data
    • Object to or restrict certain processing
    • Data portability
    • Withdraw consent where processing is based on consent

    9.1 Data Export

    You can export your data directly from the Service:

    • Contacts: Export your customer database via the Contacts page export feature
    • Appointments: Export booking history and reports from the Reporting dashboard
    • Account Data: Request a complete data export by contacting support

    10. International Data Transfers

    Your information may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place for international transfers, including standard contractual clauses where required.


    11. Children’s Privacy

    Our Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us immediately.

    We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the “Last updated” date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
